Frequently Asked Questions

Everything parents, coaches, and league directors want to know before handout night.

Do parents or volunteer coaches have to install an app or create an account?

No! That was our number one design rule. Parents simply point their phone camera at the QR code printed on their player's bag tag, and their live manifest opens instantly in their browser with zero logins or passwords. Volunteers can also use the responsive web interface or lightweight mobile app.

Which sports are supported out of the box?

Gear Track includes tailored safety and equipment templates for Youth Football (NOCSAE helmets, shoulder pads), Ice Hockey (HECC/CSA helmets, skates, breezers), Lacrosse (NOCSAE helmets, chest protectors), Baseball & Softball (catcher gear, bats, helmets), and can be customized for soccer, field hockey, or basketball.

How does the context-aware scanner know whether an item is being checked out or returned?

When you scan a gear barcode followed by a player QR tag, the scanner automatically infers a BORROW action and presents a one-tap assignment button. When you scan an already assigned piece of gear during end-of-season collection, the scanner infers a RETURN action and prompts for condition grading with zero menu navigation.

Can our club print labels on a standard home or office printer?

Yes! Gear Track generates batch Avery 8-per-sheet printable PDFs directly from the web dashboard. You can print them on standard peel-and-stick paper. For football and lacrosse helmets that take heavy outdoor beatings, we recommend high-durability vinyl decals.

How does multi-tenant organization support work?

Gear Track is built on a full-stack multi-tenant architecture powered by Serverpod. A youth sports organization or high school booster club can manage multiple sports, teams, age divisions, and seasons under one roof, while keeping team equipment rosters neatly partitioned.

What happens if we lose cell reception inside a metal storage shed?

Gear Track's mobile scanner caches recent roster and equipment data locally on the device, allowing volunteers to queue scans and synchronize automatically once reconnecting to Wi-Fi or cellular service.
