Getting Started with Gear Track

No complicated IT setup. Get your team ready for distribution night in four steps.

  1. 1

    Import Rosters & Teams

Upload a simple spreadsheet of players, or connect with your existing SCRBRD rosters in seconds.

The only thing we need for a player is their name. Everything else is optional, which makes it easy to get started. You can add details like photos, sizes, or player ages later.

Setting up your roster is designed to be quick and easy. If all you have is a list of player names, just paste it in and you'll be done in under 10 seconds.

  2. 2

    Add Inventory & Labels

QR codes and barcodes are optional, and you can reprint them anytime. Print them yourself, buy labels online, or order them from us. They come in different sizes, shapes, and durability levels at various price points, so you can pick what fits your budget.

Codes aren't essential to get started. Low-value items don't need them unless you want to track them individually. Individual tracking makes sense for high-value gear like helmets, where you want to know exactly who has which one. For low-value items like pants or pinnies, you can skip codes and track them as a group. See our Understanding Barcodes guide for more.

If you don't have a large budget a simple Sharpie marker can work as well. Just write clearly and make it easy to type in. No long numbers. Tip: make the helmet start with H, the pants start with P, etc. It just makes it simpler later.

  3. 3

Scan & Hand Out on Phones

On distribution night, volunteers open the camera scanner on their phones. Scan gear, scan player tag, tap confirm. Done in seconds.

If an item has a QR code or barcode, it's point and shoot.

If an item isn't tagged with a code, there's a little typing involved, but it's simple and quick. There are no long serial numbers to type, and the app prompts you and autofills as much as possible.

  4. 4

    Parents Track via Link

Parents can scan their child's bag tag anytime to review gear and return deadlines—with zero app logins.

The app creates a simple web page and link for parents and players to see what equipment is currently assigned to them, along with details about each item.

Everyone stays in the loop, so there's no mystery. If a family thinks they have an item or is listed for something they didn't receive, they can check and validate it right away. That means much less hassle on return night.
